Create an Invoice
The Invoice feature allows users to create, send, and monitor invoices for their products and services, thereby helping to improve cash flow management and customer interactions.
Feature Eligibility:
Users with a Basic membership can only create invoice transactions with full payment.
Users with Premium and Pro memberships can create invoice transactions with installment payments or custom payments.
Users:
Franchise Model Account
Employee Account
Can only access the Invoice feature if the Owner grants access permission.
How to Access
Access the Invoice Feature
Users can access the Invoice page directly, or
Create a new transaction by clicking the Quick Action button labeled “+ Create Transaction”
Steps to Create an Invoice:
Select Invoice Date (Required)
Select Invoice Due Date (Required)
Select Customer (Required)
Users can select a customer from the list of available customers, or
Create a new customer by clicking the + button on the customer card.
Select Product
Users can search for products from their product catalog, or
Create a new product by clicking the + button on the product card.
Click the Confirm Product button to proceed to invoice creation.
Additional Options on Invoice:
Users can add Transaction Discounts to customer invoices.
Select the discount type: percentage or nominal (amount)
Users can add Shipping Fee to the invoice.
Note: Shipping costs are not calculated in the Transaction Discount.
Payment Term Options:
Users can activate the Payment Term option if the transaction value is above IDR 100,000 (excluding shipping costs)
Types of payment terms to choose from:
Full Payment
Installment
Custom Term (Custom Term of Payment)
Invoice Delivery:
Users can send invoices by clicking the Send Invoice button
The system will automatically send an invoice along with a payment link to the customer.
Positive Use Cases
Use Flow
User creates invoice
Labamu users create new invoices through the Invoice feature by filling in customer data, product data, and transaction details.
User sends invoice to customer
Once an invoice is created, the user submits it through the Labamu system.
Customers receive notifications from WhatsApp Labamu
Customers will receive an invoice notification via Labamu’s official WhatsApp, containing information and a link to view the invoice.
Customers access the Invoice Microsite
Customers can open the Invoice Microsite by clicking on the link (URL link) received on WhatsApp.
Customers view transaction details
On the Microsite page, customers can view complete invoice details, including products, prices, and total payment.
Customers can reject invoices
If there is a discrepancy, the customer can reject the invoice by clicking the “Reject Invoice” button.
Customers can make payments
If the customer approves the invoice, they can proceed with payment and select their preferred payment method.
Users receive invoice status notifications
Labamu users will receive invoice status update notifications from customers, such as approved, rejected, or paid.
